The Executive Administrative Assistant functions as a staff assistant and performs a wide range of administrative duties and activities at the discretion of the Board of Directors.
This person in this role has frequent oral and written communications with a variety of individuals and is frequently engaged in exchanging information with staff, the Board of Directors, union members and the public.
Accordingly, the applicant must be precise, direct, courteous and professional both verbally and when preparing draft written communication.
Must be capable of adapting to changing priorities and situations and understand the importance of confidential information and be able to maintain it as such.
Specific Duties & Functions:
Answering or transferring phone calls and taking messages for Board and staff members Seminar & event planning/scheduling registration and travel arrangements for Board and staff Writing memos, correspondence and other reports as needed Purchasing office supplies and working with vendors Working with office equipment vendors to purchase and maintain office equipment such as printers and fax machines Sorting and delivering all mail and emails Preparing and sending out multiple membership mailings per year Preparing packages for members at retirement:
ordering items for the packages and keeping track of item inventory, logging the status of the packages, distributing the packages Requesting organizational leave for Board members and keeping track of time allocations Other requests to assist Board and staff as needed Qualifications and Experience Requirements:
An Associate's Degree or Business/Administrative Certificate OR A High School Diploma plus a minimum of five years' relevant experience.
Additional requirements include:
Knowledge of Microsoft Office suite Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills About Us Located on State Street in downtown Albany, NY, the New York State Troopers Police Benevolent Association is the labor union representing the uniformed members of the New York State Police.
