We are seeking an organized and detail-oriented Project Controls Administrator to add to our project management team.
This position is responsible for supporting our project management team, and field construction team.
This position will report to the VP Projects and will be based out of an Albany, NY field office.
As the administrative hub of The HDD Company (New York project) team, the Project Controls Administrator is responsible for the capture, documentation, reporting, and communicating of information related to all aspects of the project.
This person will interact with all members of the project team and other stakeholders to make sure that everyone is on the same page.
Other duties may be assigned as necessary.

Do you have experience in project controls within the world of construction? Are you based in the Albany, NY area or willing to commute to that area on a daily basis? Are you known for your staying calm in a heavy administrative workload? Do you have proven success on completing project tasks on time? Do you have exposure to dealing with unions? Responsibilities Document, report, and communicate (HDD) Horizontal Directional Drilling construction activities for simultaneous field operations.
Ensure operational compliance reporting and document controls on all permit, environmental, and safety reporting; provide administrative and organizational support project team.
Document and store all details and communication relating to the coordination and negotiations of all pre-construction activities and submittals from engineering, estimating, environmental, and executive teammates and collating that information into a standardized set of reports.
Spearhead all communications activities with all stakeholders (co-workers, clients, and sub-contractors) prior to and during construction providing specific project knowledge and client contract knowledge relating to multi-million-dollar execution plans.
Capture, document and update schedules for project owners, clients, and subcontractors as required.
You will assist in capturing cost-controlling and financial information and communicating internally and externally to our client as needed.
Assist in the preparation and presentation of any project submittals.
Document and communicate project scopes and objectives, using project tools and software.
Understand, document, and communicate any changes in project scope, schedule, and costs.
Manage the relationship with the client and all stakeholders.
Record, Document and report risk management metrics as per project management team.
Communicate and coordinate with a wide variety of project stakeholders, including but not limited to field operations, project management, client administration, and vendors.
Create and maintain comprehensive project documentation in conjunction with estimating/business development/operations teams.
Attend and lead/participate in site-visits, pre-bid meeting and post-bid meeting as required.
Requirements You are a project controls administration professional that loves organizing and making life easy for project management teams and operational crews alike.
Your diligence, conscientious personality and customer focus make you an ideal fit to administer and document the many moving parts of this project.
Proven working experience as a project controls administrator in the construction sector or equivalent role.
Solid technical background, with understanding or hands-on experience in civil construction and/or trenchless technology would be ideal.
Excellent written and verbal communication skills Advanced computer skills:
Microsoft Excel, Adobe Acrobat, Microsoft Office Suite, SharePoint & specifically must have Microsoft Project experience.
Technical writing skills for creating clear and concise project documentation.
Having excellent organizational and problem-solving skills.
Working Conditions Office responsibilities working from a field office operation.
Business hours, Monday to Friday, extra hours will be required periodically.
Travel to worksites will require PPE to be worn and may occur in a variety of weather conditions and temperatures.
