Job Purpose The Executive Assistant provides a comprehensive support service to senior National Grid employees and their team by carrying out a wide range of duties to support and assist the Vice Presidents with project-based and day-to-day activities.
Key Accountabilities Carry out specific tasks in line with clear procedures and working practices to support two Vice Presidents in everyday work.
Effectively manage VPs demanding calendar for meetings, workshops, and appointments, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations and others are carried out seamlessly.
Plan and coordinate travel arrangements (domestic/international) using Concur (Travel Leaders), ensuring the most economical rates and compliance with Company Policies.
Assist in coordinating all critical Staff conferences and business meetings and logistics both onsite and offsite.
Ensure that costs remain within budget and that the most cost-effective solutions are secured.
Act as liaison with relevant project team members in order to ensure resources and materials are available as and when required in order to meet given project milestones (utilizing SAP invoicing, Payment Requests).
Support functional onboarding and hiring activities.
Ensure VPs expense reports are submitted accurately and on time.
Review and approve expense reports (on behalf of VPs) for the team in a timely manner.
Ensure that all reports comply with Company policy.
Regularly monitor VPs emails and keep them apprised of any important messages.
Forward appropriate items to others for action if necessary and follow up promptly.
Works closely and effectively with VPs to understand their priorities, commitments and needs to be proactive and supportive.
Coordinate with other departments, day-to-day administrative and operational tasks - work with and build relationships with other EAs in the organization.
Order supplies for the team as needed.
Provide support and assistance as needed in other lines of business.
Capability Requirements Reviews accuracy of own work and checks that all details are accurate to ensure multiple tasks and projects are completed on time.
Takes personal responsibility for correcting problems promptly and communicates effectively with external and internal customers to monitor delivery and satisfaction.
Recognizes and proactively addresses upcoming opportunities or obstacles and can investigate the situation beyond routine questioning.
Strong Organizational skills.
Qualifications Bachelor's Degree preferred and 5
years of Executive Assistant experience in a corporate environment.
Availability and willingness to travel 25% of the time is required.
Experience with Concur and SAP Preferred.
Licensed Notary a plus.
Intermediate proficiency on Microsoft Applications:
Office 365, Outlook, Word, Excel and PowerPoint.
Experience in handling highly confidential and sensitive information with discretion.
Experience drafting routine correspondence and organizing/maintaining files.
Experience with digitization of notes.
Excellent written and verbal communication skills and the ability to communicate effectively and courteously.
Possess excellent planning and organization skills with the ability to handle multiple projects with changing and competing priorities.
More Information Salary:
$64,000 - $74,000 This position has a career path which provides for advancement opportunities within and across bands as you develop and evolve in the position; gaining experience, expertise and acquiring and applying technical skills.
Candidates will be assessed and provided offers against the minimum qualifications of this role and their individual experience.
